Reputable Dental office in Beverly Hills, CA seeks an experienced and highly organized Dental Practice Office Manager/Administrator. This dental practice focuses on cosmetic and implant surgery. This role will be responsible for the day-to-day operations of the dental office and undertakes a broad spectrum of tasks. Must have dental office management experience.
The ideal candidate will have dental office management experience ensuring that the dental practice runs efficiently with little or no supervision. This role involves managing staff, handling insurance and patient billing, tracking collections and insurance aging, and presenting dental treatment plans while ensuring exceptional patient experience.
Key Responsibilities:
Practice Management
• Ensure the dental office operates efficiently and effectively while maintaining a high standard of care and customer service.
• Oversee the scheduling of patients and staff to optimize productivity and minimize downtime.
• Monitor and manage key performance indicators (KPIs) such as production, collections, and patient retention.
Team Leadership
• Supervise and manage the dental team, including front desk staff, hygienists, and assistants.
• Conduct regular team meetings to ensure alignment with practice goals.
• Oversee recruitment, onboarding, training, and performance evaluations for team members.
• Address staff concerns and maintain a positive, professional work environment.
Billing & Collections
• Manage billing processes for patients and insurance companies, ensuring accuracy and timeliness.
• Oversee accounts receivable and monitor aging reports to ensure timely collections from insurance providers and patients.
• Follow up on unpaid claims and address billing discrepancies.
Patient Relations
• Present treatment plans to patients, explaining procedures, costs, and insurance coverage clearly.
• Coordinate financial arrangements with patients, including payment plans when necessary.
• Resolve patient inquiries or complaints promptly and professionally.
Insurance Management
• Insurance verification is done by a 3rd company but eligibility and benefits for patients need to be double checked.
• Submit and track insurance claims and pre-authorizations.
• Ensure compliance with insurance requirements and updates.
Administrative Duties
• Maintain accurate and up-to-date records of patient and financial information.
• Manage supply inventory and vendor relationships to ensure the practice is well-stocked.
• Ensure compliance with HIPAA and OSHA standards.
Qualifications/Education:
• High school diploma or equivalent required.
• Associate’s or Bachelor’s degree in business administration, healthcare management, or a related field is strongly preferred.
• Minimum of 3-5 years in dental office management.
• Proven experience in insurance billing, patient collections, and treatment presentation.
• Knowledge of dental practice management software (e.g., Dentrix)
• Able to work independently and multitask in a fast-paced environment.
• Good business and financial acumen.
• Strong leadership and communication skills.
