Job Description

The Immunology department at MD Anderson Cancer Center seeks to determine the fundamental cellular and molecular mechanisms of a wide range of processes by which the body recognizes and eliminates pathogens and use these findings to unleash the patient's own immune system against previously treatment-resistant cancers. Treating the immune system rather than the cancer itself, the therapeutics developed are applicable to many cancers.

IMMUNOLOGY

KEY FUNCTIONS

Executive Support

• Assesses support needs, provides comprehensive administrative support and manages the day-to-day office support for the Chair, Deputy Chair, select Faculty, and Department Administrator.
• Provides an effective problem-solving interface for internal and external personnel who contact the Department regarding a wide variety of issues.
• Responsible for analyzing issues and exhibiting strong interpersonal, decision-making, problem-solving, organizational, and planning skills.
• Demonstrates job knowledge and proficiency in transcribing, preparing, processing, maintaining, and approving documents required for the effective operation of the Department.
• Schedules meetings and teleconferences by polling attendees and preparing agendas and documents for distribution.
• Manages calendar, travel, and expense reports for the Department Chair, Deputy Chair, select Faculty, and Department Administrator.
• Composes formal and informal correspondence, and presentations, using strong writing, presentation, and grammatical skills.
• Assists the Chair in preparing faculty evaluations and communicating timelines.
• May supervise or provide direction to assigned staff.

Departmental Support

• Arranges events according to Departmental and institutional specifications, including the booking of rooms, catering, equipment, etc., in accordance with guidelines.
• Manages faculty administrative functions to include preparing recommendations for appointment, onboarding, promotion, award, and committee letters for faculty.
• Manages other administrative functions, as requested, to include budget, space facility needs, development of policies and procedures, and HR related issues
• Assists with preparation of and submits membership/nomination applications and letters of recommendation to State/Federal or non-profit agencies and other academic institutions.

Project Management

• Leads/supports special projects for the Chair, Deputy Chair, selected Faculty, and Research Department Administrator.
• Leads/coordinates/supports special projects and provides liaison work within the Division, other Divisions/Departments, and with Institutional leadership.
• May participate in strategic planning and serve on committees or attend on behalf of leadership.
• Other duties as assigned

EDUCATION

Required: High school diploma or equivalent.

Preferred: Bachelor's degree.

EXPERIENCE

Required: Six years of administrative/secretarial experience supporting a leadership/executive level position. With preferred degree, two years of required experience.
