Job Title: Executive Assistant/Office Manager

Location: Denver, CO

The Executive Assistant / Office Manager is a key staff position that provides high level executive support and manages the functions of the Kaseware office. This position works closely with the Executive Team to ensure smooth operations of all administrative aspects of the office environment. Key responsibilities include working independently on complex clerical tasks and projects while demonstrating professionalism and confidentiality when handling all matters and interacting with external clients and team members on behalf of the Executive team. The Executive Assistant/Office Manager is the operational and administrative conductor whose role is critical to the seamless flow of information, schedules and work across the organization.

Job Type: Full-time, Non-Exempt

Responsibilities and Duties:
  • Skillfully manage external communication with the staff, external clients, board members, and independent contractors
  • Maintain a calendar of the executive and internal team's activities, meetings, and various events
  • Ensure effective interaction and communication with the executive team, internal team, board, staff, multiple independent contractors, collaborators and partnered organizations
  • Provide full administrative support to ensure that the executive functions and office operate in an efficient manner; this includes managing email accounts and scheduling
  • Plan and execute events for the team throughout the year, in conjunction/collaboration with HR
  • Oversee the office's general operations, including the reception area, and acting as the main point of contact
  • Manage the office budgets, record office expenditures, and prepare annual budgets

Required Education and Experience:
  • Minimum of 5 years of related experience in fast paced, administrative support role working in a software environment
  • Previous experience providing executive-level support is critical
  • Bachelor's degree in related field preferred; additional years of direct experience may substitute for education
  • Excellent planning, organizational, and time management skills
  • Detail-oriented
  • Exceptional diplomacy skills required; willingness to give and receive constructive feedback in a respectful and holistic manner
  • Excellent written and verbal communication skills via email, memos, phone and drafting documents
  • Ability to work independently, be self-directed in priority setting and time management while valuing and able to work collaboratively within and across teams

Salary: $35.00-$38.00 per hour
