Position Overview

Scouting America is seeking a dedicated, detail-oriented Grants Coordinator to join our mission-driven team. This role is essential in supporting our fundraising efforts, managing the grant lifecycle, and ensuring that funds are used to create a meaningful impact in the communities we serve.

The Grants Coordinator supports and monitors a portfolio of grants authorized by Scouting America and the Scouting America Foundation, ensuring all grant activities are managed efficiently and in compliance with organizational standards. The successful candidate maintains accurate and consistent grant processes with a strong focus on data integrity and designs, delivers high-quality customer support to external partners and provides responsive assistance to internal staff. This position coordinates with grants management staff and accounts payable to facilitate timely and accurate grant distributions and payments monitoring payment disbursements to ensure alignment with grant budget and grantor restrictions and completes financial analysis. This position also supports the administration of all restricted funds, ensuring accuracy, accountability, and excellent service to both internal teams and external partners. The ideal candidate will have strong organizational skills with the ability to manage multiple tasks under time constraints. The Grants Coordinator reports to the Supervisor, Grants Administration.

Responsibilities

  • Assists with grant workflow processes related to data entry to ensure adequate internal controls and accurate and efficient reporting of grants data for a portfolio of grants in alignment with grant workflow.
  • Coordinates with grants management staff and accounts payable to facilitate timely and accurate grant distributions and payments.
  • Monitors payment disbursements to ensure alignment with grant budget and grantor restrictions and completes financial analysis
  • Maintains comprehensive records of all grant-related correspondence, documentation, financial transactions, to ensure that all records are organized and easily accessible for audit and compliance purposes.
  • Tracks, organizes, uploads, and files grant-related supporting documentation within the grant portal and electronic libraries.
  • Committed to resolving inquiries from grantees and staff in compliance, policies and procedures, technical troubleshooting and all systems related to grants management.
  • Communicates payment information to grant recipients to ensure timeliness and accuracy in grant payments

Competencies

  • Knowledge of: Grants management and administration, Grants Management software, non-profit accounting and management, principles, practices, and methods of budget, financial and data analysis, control; impact analysis, generally accepted accounting principles (GAAP), and practices as they relate to the development and monitoring of operating budgets.
  • Skilled in: Excellent attention to detail. Planning and organizing work within context of long-term and complex assignments; performing multiple, concurrent tasks with frequent interruptions; communicating effectively both verbally and in writing; utilizing personal computers, client server systems, mainframe systems, programs, and applications. Communicating effectively both verbally and in writing; interacting with people from varied socio-economic backgrounds; preparing reports; applying accounting principles and financial analysis and resource management methods; creating and maintaining effective working relationships with outside agencies and the public; working with little or no supervision; operating standard office equipment and software including spreadsheets, word processing, presentations, and electronic mail.

Education

  • Bachelor’s degree in business administration or a related field from an accredited college or university.
  • An equivalent combination of education, training and/or experience also considered.

Qualifications

  • 1-3 years of proven experience in grants administration and payment processing with a strong understanding of financial management.
  • Must pass a criminal history background check.

Any work-related experience resulting in acceptable proficiency levels in the above Minimum Qualifications is an acceptable substitute for the above-specified education and experience requirements.

Preference

Experience in grants management and/or accounting software (PeopleSoft, Blackbaud Grants Management, Fluxx, SmartSimple, etc) preferred or similar software experience.
