Job Responsibilities:

  • Provide administrative support to ensure efficient operation of the office.
  • Manage schedules and appointments for team members.
  • Respond to emails and phone calls from clients and partners.
  • Organize and maintain files and records for electronic and paper documents.
  • Prepare and edit correspondence, reports, and presentations.
  • Assist with project management tasks, including tracking progress and deadlines.
  • Coordinate meetings and prepare agendas and necessary materials.
  • Implement office policies and procedures to enhance operational efficiency.
  • Provide support for developing marketing materials and communications.
  • Maintain confidentiality regarding sensitive information.

Essential Qualifications:

  • High school diploma or equivalent; an associate's or bachelor's degree in business administration or related field is preferred.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to work independently and as part of a team.
  • Familiarity with office equipment and scheduling tools.
  • Attention to detail and problem-solving skills.

Desired Experience:

  • 1-3 years of experience in an administrative role.
  • Experience in a nonprofit or rehabilitation setting is a plus.
  • Knowledge of vocational rehabilitation processes and programs is an advantage.
